Templates Under Review
The Events Industry Council's Industry Insights Committee is currently reviewing the tools and templates provided on this page. 1. The Event Specifications Guide (ESG) Template
The ESG is the industry’s tool to use in preparing and sharing complete instructions and details for events of all sizes. It includes best practices and a Microsoft Word template. The ESG is a three-part template consisting of the narrative, schedule and function orders of an event. It also establishes critical timing norms 3.
2. The Post-Event Report (PER) Template
The PER is the industry’s accepted format for collecting, storing and sharing accurate and thorough post-event report data on events of all types. It provides universal consistency for reporting event histories and includes best practices as well as a Microsoft Word template for a Post-Event Report.
3. Housing and Registration Templates
These accepted practices are for collecting, reporting and retrieving complete housing and registration data for meetings, conventions and other events, and for housing issues such as housing providers, internet issues, international housing and disclosure.
4. Request for Proposals (RFPs) Forms
These accepted practices forms are used to create consistent and thorough Requests for Proposals (RFPs) that address core information and unique needs.
5. Meeting and Site Profile Report
The report of the Meeting and Site Profiles panel contains consistent and thorough profile formats for sites. It includes five primary location and facility types – hotels, resorts, convention centers, conference centres, and cities.
6. Contracts Accepted Practices
The original purpose of the Contracts Panel was to review all aspects of industry contracts and develop contract guidelines and, where appropriate, acceptable contract language guidelines. Additionally, the panel was to develop an outline to format industry contracts. The panel determined that for legal and practical reasons it was not possible to create a “standard” contract for a variety of reasons, including the large and multifaceted industry with many different types of vendors, customers, facilities and requirements, and also because legal considerations and fostering competition would prevent creation of such a document. It was decided instead to create an educational document including the definition of key clauses to help both planners and suppliers with an understanding of the purposes and considerations that affect them. Additionally a sample contract outline was developed which is not necessarily applicable to or appropriate for all meetings or events.
